Our Facilities Management Dynamic Market - open for new suppliers

We’re launching a new Facilities Management Dynamic Market this year following demand from our Members. It’s now open for suppliers to join via our In-Tend portal. We expect to go live with the Dynamic Market for customers to use from June. 

Some aspects of the model will be similar to a framework – but an important difference is that suppliers can join or leave at any time. This means that if customers have preferred small or local firms that they’d like to be included in the tender, they’re able to join the Dynamic Market before tendering. 

What’s included? 

It's split into three Lots covering: 

  • Soft facilities management services
  • Hard facilities management services
  • Total facilities management services 

The Lots are then subdivided depending on annual contract values. 

The aim of each lot is to offer customers a menu of solutions to address a broad range of facilities requirements. This means we’ll cover everything needed to keep buildings safe and functional – from day-to-day cleaning, catering and security (soft FM) to essential building maintenance and repairs (hard FM).

Total facilities management also brings both services together under one contract to provide a single, coordinated approach to managing facilities.

How do contractors apply? 

We’re currently at the initial set up stage and asking bidders to complete a Procurement Specific Questionnaire (PSQ) via our In-Tend portal. Here you’ll provide evidence that you meet the requirements – including the legal, financial and technical ability to perform the contracts.

The inital round of applications will be open until 14 May. 

This stage takes longer than follow on rounds of submissions to allow us to build an initial network of suppliers. 

From there we’ll conduct due dilligance checks and notify the successful bidders. If you're not successful, we’ll let you know why and you’re able to re-apply in a later round. 

When will it be live for customers to use? 

We expect to go live with the Dynamic Market for customers to use in June. 

All contracts from the Dynamic Market will need to be through a ‘further competition’. We’ll manage the process for them and they'll use their own specification, cost model and tender information to tailor the contract to their own requirements.

We will administer the process, and be on hand to help with any questions along the way.

Lot 1 – Soft Facilities Management 

This lot covers services that enhance the comfort and experience of occupants. This includes, but isn’t limited to: 

  • Cleaning and hygiene
  • Security and front of house
  • Grounds maintenance and environmental care
  • Catering and hospitality
  • Workspace and occupant services
  • Other support services 

Lot 2 – Hard Facilities Management 

This lot covers the physical, structural and technical aspects of a building that requires maintenance and compliance. This includes, but isn’t limited to: 

  • Building structure and fabric
  • Mechanical and electrical systems
  • Safety and compliance systems
  • Energy and environmental controls
  • Specialist installations 

Lot 3 – Total Facilities Management 

This is the combination of soft and hard services for customers wanting multiple services covered in a single contract.
